So how does a virtual or remote Accountancy service look? Here, Ascentant explain.

Enquiry

Upon enquiry, a member of our team will discuss your needs and provide a quotation document by email, detailing the price, service standards and details of the team who will be working with you.  

We are able to offer initial meetings by telephone or video conference with one of our Accountants.

Paperless onboarding

Clients who accept our quotation are forwarded an electronic new client form and KYC identification form for completion online. We require identification documents to be uploaded to our secure online IRIS portal, secured by SSL and AES technology.

A copy of our engagement letter can be electronically signed in the IRIS portal. Thereon we can begin working with clients.

Bookkeeping & Payroll

We work with a range of Cloud systems, including Quickbooks, Xero, Clearbooks, Sage and Freeagent to complete bookkeeping and accountancy processes. We are able to either set up clients with their own accounts or be provided with Accountant access to a client’s software account if already set up.

Clients are able to share documents such as receipts and invoices with us for posting and processing either by upload to our IRIS portal, via Hubdoc data capture or upload to shared data folders such as Dropbox or Googledocs. Thereon we can process bookkeeping transactions and keep client records upto date. There is no need to drop off or send physical copies of paperwork.

We are able to process Payroll electronically via our IRIS payroll to share draft payroll reports before finalisation and securely email copies of payslips to employees.

Accounts & Tax Return production

Once Annual Accounts or Tax Returns are ready for filing, we usually access a client’s software to draft the financial statements.

For those clients with only spreadsheets or simple records such as bank statements, we can import CSV’s of this data into our accounting software to produce draft sets of financial accounts.

Once drafted, Annual Accounts and Tax Returns can be shared in our secure IRIS portal for electronic approval by clients before being submitted to Companies House and HMRC.

Meetings

We are able to continue to talk with our clients via telephone meetings, conference calls or video chats.

Conclusion

Ascentant are Derby based Accountants practice, but able to service clients across the country remotely with securely, efficiently and cost effectively. During the Coronavirus pandemic, some Accountants who are heavily paper-based or rely on their offices have struggled to continue servicing their clients, however our service remains unaffected, continuing to look after our current clients and take on new work, being able to resource remotely.
